When you enter a new customer (or edit a customer contact), you’ll see the ability to add a “tag.” Tags are simply labels that allow you to organize and quickly find customers according to categories or descriptions that are meaningful to you. For example, if you want to keep track of which customers have kids – maybe because you’re a dance instructor and want to know who to notify when you introduce a new class for children – you could add the tag “kids” to their customer record. If you have 2 employees, Ed and Heather, and want to instantly find all the customers served by either person, you could add a tag like “Serviced by Ed” or “Heather” to the appropriate customers (see below).

All of the tags you create are shown as links on the left side of Billing Manager (see links listed under “My Address Book” in the left-hand gray area of the above screen). If you did add the tag “kids” to customers who have children, clicking on the “kids” link will display all of the customers with kids. You can add as many tags as you want, so if a customer has kids and is on your holiday card list, you can tags for both “kids” and “holiday card” pull up their record either way.

One of the best things about using Billing Manager instead of MS Word or Excel is the ability to have all your billing information organized in one place and easily accessible. The basics are being able to see what is paid, coming due or overdue, or who owes you the most money from all the invoices you’ve sent. Tags are just one additional way we try to make sure you can quickly find the info you need. So have some fun thinking about what info you’d like to find with one click. You could enter the tag “prospect” for new contacts you haven’t done business with yet, to instantly display the leads to follow up on. Or if you sell fabrics and certain customers prefer paisley patterns, tag them with “paisley” so when you get a new paisley product in you’ll have the list of hot leads ready to go. We’d love to hear how you think of using tags and whether they work for you. Let us know…we’re always here looking for feedback and comments!
